A Fresh Approach to Meetings

Most people dread meetings. It’s a sentiment shared across industries: meetings often feel like a waste of time, keeping people from tackling their most essential tasks. Let’s face it, many meetings are poorly run and boring, which is why multitasking has become a common practice during them.
Over my career, I’ve witnessed meetings transition from in-person gatherings to predominantly virtual formats. Yet, the structure of meetings often remains the same—unfocused and unmotivating. It doesn’t have to be this way. A few fresh strategies can transform meetings into engaging, effective, and even energizing sessions.
Let’s explore some practical tips that can be used in most any type of meeting:
Meeting Hack #1 – Shorten Your Meetings
If a meeting is scheduled for an hour, reduce it to 45 minutes. A two-hour meeting? Try 90 minutes instead. Shorter meetings force focus and efficiency while respecting everyone’s time.
Meeting Hack #2 – Start and End on Time
Starting and ending meetings on time is an example of healthy leadership boundaries. It signals respect for those present and builds trust. When teams know meetings will be concise and intentional, they’re more likely to stay engaged.
Meeting Hack #3 – Clearly Communicate the Purpose
Communicating the greater goal of the meeting…why it is so important or impact it will make, is critical. This practice orients everyone to what you and your team want to achieve. People are energized by a cause not a task.
Meeting Hack #4 – Request Full Focus
Request that people focus, be actively listening and not multi-tasking.You may get some push back on this. However, the distracted meetings and half discerned decisions is exactly what your competition is hoping you will do. Besides, if everyone is focused, you’ll be done sooner.
Meeting Hack #5 – Keep Cameras and Microphones On
In virtual meetings, ask for the participants to NOT mute their mics. Ambient sounds - within reason - create a sense presence and engagement. Participants can mute for occasional distractions but “mics on” fosters a collaborative atmosphere.
Meeting Hack #6 – Start with Wins
Begin meetings by asking everyone to share a quick (30 second) highlight, breakthrough, or positive moment. This simple practice stimulates positive neurochemicals like oxytocin and dopamine, setting the stage for creative problem-solving.
Meeting Hack #7 – Introduce Sand Timers
Meetings often include a mix of introverts, extroverts, timid people, and over-talkers, and each of them have ideas worth consideration. Sand timers of varying lengths (1, 2, 5, and 10 minutes) ensure equitable participation, and set healthy boundaries, helping extroverts practice brevity and introverts find their voice. Recognizing and leveraging each individual’s strengths can make your meetings more dynamic and inclusive.
Meeting Hack #8 – Affirm the Team
Recognize and affirm team members when they apply these fresh meeting strategies. People will do more of what they are recognized for. Consistent positive reinforcement encourages a culture of collaboration and growth.
Meeting Hack #9 – Make Consultative Decisions
Not every decision requires unanimous agreement. Consultative decision-making allows leaders to consider team input thoughtfully while retaining final decision-making authority. When people know their opinions are genuinely valued, they’re more likely to support the outcome, even if it’s not their preference.
